Reporting to the Chief of Staff, the Stakeholder Program Manager oversees the development and complete execution of events and activities aimed at nurturing strong relationships with key stakeholders. This role requires exceptional project management skills, attention to detail, and the ability to execute successful events that align with the organization's goals and values.

A successful candidate will demonstrate exceptional skills in managing evolving priorities and communicating updates to stakeholders. This role involves engagement with international partners and may necessitate occasional travel and flexible working hours, including evenings and weekends due to time zone differences, to facilitate events and planning meetings.

Responsibiltities

    • Event Planning and Execution:
    • Plan, coordinate, and execute events involving a wide range of internal and external stakeholders.
    • Ensure seamless logistical planning and execution, including venue selection, catering, scheduling, audio-visual, and transportation.
    • Collaborate with global teams and stakeholders to align event goals.
    • Create detailed event plans with timelines and tasks.
    • Oversee event set up with support from Facilities, IT, and Executive Assistant team members.
    • Supervise event staff, volunteers, and vendors.
    • Address and troubleshoot issues for a smooth event experience.
    • Review the event results and work with the internal team to identify areas for improvement and refinement for future events.

    • Stakeholder Engagement:
    • Customize events to meet specific stakeholder needs.
    • Establish and maintain effective communication channels to keep stakeholders informed and engaged.
    • Partner with internal stakeholders (Chief Liaison Office, Executive Assistants) to ensure alignment on participant availability and deliverables
    • Develop wireframe presentations and maintain content development progress.

    • Vendor and Supplier Coordination:
    • Identify and partner with vendors, suppliers, and service providers to secure necessary resources for seamless event execution.
    • Negotiate contracts to ensure vendors deliver services as agreed upon and aligned with event requirements.
    • Develop event budgets and closely monitor expenditures.

    • Risk Management:
    • Identify potential risks and issues related to events and proactively develop mitigation strategies.
    • Ensure that events adhere to safety and compliance requirements.

Qualifications

    • Bachelor's degree and 4+ years experience in event management, stakeholder relations, or related field.
    • Exceptional project management skills for multitasking.
    • Strong interpersonal and communication abilities, and cross-cultural understanding.
    • Capacity to excel under pressure and meet tight deadlines.
    • Flexible and adaptable to frequent and substantial changes in direction.
    • Meticulous attention to detail and adept problem-solving skills.
    • Creative thinking for unique event development, and for rapid countermeasures when needed.
    • Budget management experience.
    • Strong understanding and proficiency in IT tools, including Google Suite and Microsoft Office applications.
The pay range for this position at the commencement of employment is expected to be between $105,000-$130,000/year for California-based roles; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Note that TRI offers a generous benefits package (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave) and an annual cash bonus structure.
