About the Role

We’re seeking a Partnerships Coordinator who will be responsible for the overall coordination of team workflows, communications, and project management. Reporting to the Engagement Lead, you will manage a diverse range of tasks related to external team coordination, strategic partnerships, and ad hoc projects/communications.

You will play an instrumental role in forging and nurturing strategic partnerships. This involves supporting the development of state-wide and national summits, managing the calendar of external team projects and events, and creating communications tailored for our partner audiences. Your expertise will be invaluable in advancing aiEDU's event strategy as you work closely with team members to streamline project management processes.

Additionally, you will contribute to ad hoc projects and communications, crafting press releases, blog posts, and other content to amplify aiEDU's message. You will conduct market research and support the development of new and ongoing partnerships. In this role, you will have the opportunity to make a meaningful impact on aiEDU’s influence in the education sector.

✅ Your responsibilities will include working on projects like:

Partnerships Coordination and Administrative Support - 25%

  • Oversee incoming requests from external audiences, managing and responding to inquiries, directing requests to the appropriate team members, and ensuring comprehensive, timely communication to all stakeholders.
  • Maintain information and data workflows using aiEDU CRM (Salesforce) and related tools, upholding the accuracy and integrity of the CRM database, managing contacts, logging interactions, and leveraging data for strategic decision-making.
  • Draft documents, correspondence, and reports to support the External Team, creating clear, engaging documents, emails, and reports. 
  • Maintain and share a weekly dashboard with an overview of high-priority follow-ups and outreach, highlighting essential follow-ups and outreach efforts to ensure everyone on the team stays on track and informed.

Strategic Partnerships - 50%

  • Support the development of state-wide and national summits, collaborating with various stakeholders, organizing logistics, and ensuring seamless coordination of these large-scale events.
  • Draft follow-up emails for partners, funders, and other stakeholders, maintaining effective communication with key stakeholders, including drafting personalized, thoughtful follow-up emails to ensure continued partnership and mutual growth.
  • Develop an event playbook in partnership with Engagement Lead Christian Pinedo, consolidating best practices, timelines, and procedures into a comprehensive guide that streamlines event management processes for the team.
  • Manage the calendar of External Team projects and events to ensure all deadlines are met, and events are properly scheduled and executed.
  • Join key meetings with current and potential partners/funders to take comprehensive notes and ensure all action items are captured and followed up on.
  • Advance aiEDU’s event strategy, supporting partners who are organizing AI Education Summits and Leadership Roundtables and assisting with the logistics and planning for aiEDU-driven events, ensuring they align with the organization's strategic goals.
  • Conduct research across a variety of contexts to identify strategic partners, expanding aiEDU's network by identifying potential partners that align with the organization's mission and objectives.
  • Draft grant applications and other written content, preparing compelling grant applications that highlight aiEDU's initiatives and impact, as well as drafting other written content to support the team's objectives.

Ad Hoc Projects / Communications - 25%

  • Write press releases, blog posts, and other content, creating well-crafted, engaging communications that effectively convey aiEDU's updates, initiatives, and impact to a wide audience.
  • Write intro emails to podcasts, event organizers, and other potential venues for aiEDU to share our message, reaching out to various platforms, drafting persuasive introductory emails that present the value of aiEDU's work and seeking opportunities for collaboration and exposure.
  • Conduct market and general research to understand the latest trends, identify opportunities, and inform strategic decisions. This role contributes to the team's knowledge base and helps shape aiEDU's approach to its mission and goals.
  • Handle anything else that needs to get done — it’s impossible to anticipate everything we might need, so you’ll often take on special projects and ad hoc tasks as they arise.

  • Think strategically, enjoying the challenge of viewing problems from different angles to come up with creative solutions.
  • Are collaborative, understanding that pooling ideas and expertise often leads to the best outcomes.
  • Have a bachelor's degree or equivalent experience in a relevant field.
  • Have knowledge of the AI and education landscape (preferred).
  • Are passionate about education, technology, and social impact (preferred).
  • Are proficient in using generative AI tools, such as ChatGPT, DALL-E, Midjourney, etc. (preferred).

⭐ Role Details

  • Location: This full-time, exempt position can be done on a flexible schedule remotely from anywhere in the U.S. with access to high speed internet. We are not able to sponsor visas for this role, and therefore require candidates to have current US work authorization.
  • Compensation: The baseline compensation for this role is $70,000 per year.

  • Start date: We’d like a candidate to start as soon as possible after receiving an offer, though there is some flexibility.
  • Travel: We anticipate the need for overnight travel in this position up to 15%.
